When a caregiver calls out, the day rebuilds itself.

Hearth finds a replacement for every visit, tells the caregiver, the family and your EVV system, and leaves you one button to press. Operations software for home care agencies with 20 to 400 caregivers.

The same call-out, two mornings.

Tobias calls out sick at 8:31 with three visits on his route. This is the next hour on a spreadsheet and a phone, and on Hearth.

Spreadsheet and phone53 min of calls
  1. 8:31Tobias texts the coordinator’s personal phone.
  2. 8:38Coordinator opens the schedule, finds 3 visits at 10:00, 1:00 and 4:00.
  3. 8:44Calls Hannah, voicemail. Calls Daniel, he is in the shower.
  4. 9:02Lucía says yes to the 10:00. Nobody checked her hours this week.
  5. 9:16Nora calls to ask why Tobias has not texted.
  6. 9:24The 4:00 still has no caregiver. EVV gets fixed on Friday.

  2. 8:31Hearth ranks 9 replacements by drive time, continuity and hours.
  3. 8:46Joanne gets off a family call, reads the three suggestions and approves them together.
  4. 8:46Lucía, Sami and Niamh get the visits and the care plans.
  5. 8:46Nora, Paul and Marcy get a text with the new caregiver’s name.

Each square is a minute

One call-out, one decision.

Scroll through Monday morning at Alder Home Care. The grid on the right is the real day: one square per visit, one column per half hour.

8:31 AM

The gap shows up before the phone rings.

Tobias reports sick in the caregiver app. Hearth marks his 10:00, 1:00 and 4:00 visits as needing cover and puts them at the top of the coordinator’s day.

8:31 AM

A replacement for every visit, ranked.

Within the same minute, each visit has three ranked matches. They weigh drive time, whether the caregiver knows the client, the skills in the care plan and hours this week. Lucía is 8 minutes from Evelyn and has seen her 15 times, so she comes first.

8:46 AM

Approve once. The day rebuilds itself.

Joanne reads the three matches between calls and presses one button. It moves the visits, notifies the caregivers, texts the families, reassigns EVV and recalculates routes. Undo stays open for ten minutes.

See a late visit before the family does.

Hearth watches every clock-in, drive and overrun. When Joel runs over at Leon’s and traffic on I-71 puts him 18 minutes late, you see the ETA, the nearest free caregiver and both choices side by side.

Families hear it from you first.

When a caregiver changes or runs late, Hearth texts the family contact with a name and a time. No app to install, no portal password. Replies land in the coordinator’s inbox next to the visit.

Live in six working days.

We move your caregivers, clients and recurring visits from your current system or a spreadsheet, and stay on the line for your first real call-out.

  1. Day 1 to 2

    Import

Caregivers, clients, care plans and recurring visits come over from your scheduling tool or a CSV. We check every authorization.

  2. Day 3

    Set the rules

Service areas, overtime limits, who approves replacements, and which changes text the family.

  3. Day 6

    Go live

Caregivers get the app by text. Your first EVV submission and your first call-out happen with our team on a call.

Talk to us

Questions agency owners ask.

Something else? Ask us on the demo.

Which EVV programs do you submit to?

Hearth submits to state aggregators in 22 states today, in each state’s format, every 15 minutes. If your state uses its own system, we send verified visits there and keep the audit trail on our side.

Do we have to replace our scheduling software?

Most agencies do, because Hearth includes scheduling. If you need to keep billing in another tool, we export visits, hours and mileage every day.

What do caregivers need?

A phone with the free Hearth app. Caregivers without a smartphone can clock in by calling from the client’s landline, and still get visits by text.

Does the family need an app?

No. Family contacts get plain text messages from your agency’s number, and their replies arrive in the coordinator inbox.

Can Hearth approve replacements on its own?

Only if you turn it on. By default every match waits for a coordinator, and every approval has a 10-minute undo.

Is it HIPAA compliant?

Yes. We sign a BAA, encrypt data at rest and in transit, and log every view and change to a client record.

Your next call-out could take a minute.

A 30-minute demo on your own Monday: send us a week of visits and we will show you the rebuilt day.
